This Privacy Policy describes how POSSible ("the App"), developed by Motologic Systems ("we", "us", "our"), handles your information. We are committed to protecting your privacy and being transparent about our practices.
1. Data We Collect
Data You Provide
When you use POSSible, you enter business data including:
- Product catalogs, prices, and inventory levels
- Sales transactions and payment records
- Customer information (names, contact details, loyalty points)
- Employee/user accounts and roles
- Table layouts and order history (restaurant mode)
- Expense records and financial reports
Optional Profile Information
In addition to your account email (provided by your sign-in method), you may optionally add the following to your profile:
- Phone number — entirely optional; used only for display within the app (e.g., on your user profile screen)
- Birthday — entirely optional; entered manually by you in the app; not retrieved from Google or any third-party service
These optional fields are never required to use POSSible. If provided, they are stored locally on your device and, for Premium users with cloud sync enabled, in your Firestore user record. They are never shared with or sold to any third party.
All of this data is stored locally on your device. It is never transmitted to our servers unless you explicitly enable cloud sync.
Data We Do NOT Collect
- We do not collect device identifiers, IP addresses, or location data
- We do not use analytics, crash reporting, or tracking SDKs
- We do not display ads or use ad-tracking technologies
- We do not sell, rent, or share any data with third parties
2. Cloud Sync (Optional — Premium)
POSSible Premium offers an optional cloud sync feature. If you choose to enable this:
- Your data is synced securely to enable multi-device and multi-branch access
- Data is encrypted in transit and at rest
- You can disable cloud sync at any time to return to local-only operation
- We access synced data only to provide the sync service — never for analytics or marketing
3. Bluetooth Printing
POSSible connects to Bluetooth thermal printers for receipt and kitchen order printing:
- Bluetooth permissions are used solely for printer communication
- No data from Bluetooth connections is stored, transmitted, or shared
4. Data Storage & Security
- All business data is stored in a local database on your device
- User roles and passwords are stored with secure hashing
- The app works 100% offline — no internet connection is required for core POS functionality
5. Data Sharing
We do not share your data with anyone. Period.
- No third-party analytics services
- No advertising networks
- No data brokers
- No government agencies (unless required by law with a valid legal order)
6. Data Export & Deletion
- Export: You can export sales reports and data as Excel files from within the app
- Backup: You can create local database backups
- Deletion: Uninstalling the app permanently deletes all local data. Cloud-synced data can be deleted from your account settings
7. Children's Privacy
POSSible is a business tool not directed at children under 13. We do not knowingly collect any information from children.
8. Google Sign-In & Google User Data
POSSible offers "Sign in with Google" as an optional authentication method. This section discloses exactly how we handle Google user data in compliance with the Google API Services User Data Policy.
Data Accessed
When you choose to sign in with Google, the app requests the following OAuth 2.0 scopes:
- email — Your Google account email address. Used as your POSSible account identifier.
- profile — Your Google account display name and profile photo URL. Used to personalize your POSSible account (shown in the app header and user management screen).
We do not request access to Gmail, Google Drive, Google Calendar, Google Contacts, or any other Google service beyond basic identity (email + profile).
Note on birthday: POSSible has an optional birthday field in your profile, but this is entered manually by you within the app — it is not fetched from your Google account. We do not use the Google People API birthday scope in our production app.
Data Usage
- Authentication only. Google user data is used exclusively to authenticate you and create/manage your POSSible account. It is not used for advertising, analytics, or any purpose other than account identity.
- Account creation. On first sign-in, your email and display name are stored in Firebase Authentication (managed by Google) and in your store's user record in Firestore (if cloud sync is enabled).
- Display purposes. Your display name and profile photo URL may be shown within the app to identify you to other users in a shared store environment.
- No further processing. We do not analyze, sell, or share your Google account data with any third party. We do not use it to train AI or machine learning models.
Data Storage & Retention
- Authentication tokens are managed by Firebase Authentication and the Google Sign-In SDK — they are stored securely on-device and refreshed automatically.
- Your email and display name are stored in Firestore only if you have enabled cloud sync (Premium). Local-only users have this data stored on-device in Hive and never transmitted to our servers.
- You can delete your account and all associated data at any time from Settings → Account → Delete Account, or by contacting us at motologicsystems@outlook.com.
Revoking Access
You can revoke POSSible's access to your Google account at any time via Google Account Permissions. This will sign you out of the app. Your business data (products, sales, inventory) remains on your device and is not affected.
9. Third-Party Services
- Google Play / Apple App Store: For app distribution and in-app purchases. Payment is handled entirely by the respective store.
- Firebase Authentication (Google LLC): Manages user sign-in (email/password, Google Sign-In, Apple Sign-In). Subject to Firebase Terms of Service.
- Cloud Firestore (Google LLC): Optional cloud sync storage for Premium users. Data is encrypted in transit and at rest. Subject to Google Cloud Terms of Service.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
