Motologic Systems ("we," "our," or "us") operates the CashFlow mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the App. Please read this policy carefully. If you do not agree with the terms of this Privacy Policy, please do not use the App.
1. Information We Collect
1.1 Information You Provide
- Account Information — If you create an account for Regular or Premium features, we collect your email address and, optionally, your display name.
- Business Information — Business name, TIN (Tax Identification Number), address, and related BIR compliance details you enter in Settings.
- Transaction Data — Expenses, sales, amounts, categories, dates, and descriptions you enter or scan via OCR.
- Receipt Images — Photos you take or import for OCR processing. Images are stored locally on your device and, for Regular and Premium users who enable cloud sync, uploaded to Firebase Storage.
- Seller / Supplier Data — Names, TINs, and addresses of sellers and suppliers you add.
1.2 Information Collected Automatically
- Device Information — Device model, OS version, and app version for crash reporting and compatibility.
- Usage Analytics — Anonymous, aggregated analytics (screen views, feature usage) to improve the App. No personally identifiable information is included.
- We do not collect financial account numbers, bank details, or credit card numbers.
- We do not sell your personal data to third parties.
2. How We Use Your Information
- Provide and Maintain the Service — Process transactions, generate reports, create BIR .dat files, and display your financial data.
- Cloud Synchronization (Regular + Premium) — Sync your encrypted data across devices via Firebase Firestore and Storage.
- OCR Processing — Analyze receipt images using cloud-based OCR AI. Receipt images are sent to third-party AI services for processing; extracted text (seller details, amounts, dates, line items) is returned to the App and stored locally. You can review and correct all extracted data before saving. A stable internet connection is required for OCR AI to function.
- Improve the App — Analyze aggregated usage patterns to fix bugs and develop new features.
- Customer Support — Respond to your inquiries and provide technical assistance.
3. Data Storage and Security
3.1 Local Storage (All Users)
All transaction data, budgets, and settings are stored locally on your device using an encrypted Hive database. The App works 100% offline for all budgeting and tracking features. No internet connection is required except for OCR AI and cloud sync.
3.2 Cloud Storage (Regular + Premium Users)
If you enable cloud sync, your data is stored in Google Firebase services (Firestore and Cloud Storage) hosted in data centers that comply with international security standards. Data is transmitted using TLS encryption and protected by Firebase Security Rules and Firebase App Check.
3.3 Multi-User Shared Access (Regular + Premium)
Regular and Premium users may share access to their transaction data with other users by role (Viewer, Writer, or Admin). Shared access is enforced server-side through Firestore Security Rules. Only users you explicitly grant access to can view or modify your data.
3.4 Security Measures

- SMS Multi-Factor Authentication (MFA) option
- TLS in transit, AES-256 at rest (Firebase)

4. Data Sharing and Disclosure
We do not sell, trade, or rent your personal information. We may share data only in these circumstances:
- Service Providers — Google (Firebase, AdMob) and third-party AI service providers process data on our behalf under their respective privacy policies.
- Legal Obligations — When required by law, regulation, or valid court order.
- Business Transfer — In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of the business.
- With Your Consent — We may share data if you explicitly consent (e.g., shared access with another user).

6. Your Rights and Choices
- Access and Export — You can view all your data in the App at any time. PDF and .dat exports give you a copy of your records.
- Correction — You can edit or update any transaction, seller, or business information directly in the App.
- Deletion — You can delete individual transactions (which remain recoverable in Trash for 30 days) or permanently delete your entire account and all associated cloud data.
- Opt Out of Ads — Upgrade to Regular or Premium to remove all advertisements.
- Disable Analytics — You can disable personalized analytics through your device's privacy settings.
- Revoke Shared Access — Revoke shared access to any user at any time from Settings → Shared Access.
7. Data Retention
- Local Data — Stored on your device until you delete it or uninstall the App.
- Cloud Data — Retained while your account is active. Deleted within 30 days of account deletion.
- Receipt Images — Stored locally and (if synced) in Firebase Storage. Deleted when you delete the associated transaction or your account.
8. Children's Privacy
CashFlow is not directed at children under 13. We do not knowingly collect information from children. If you believe a child has provided us with personal information, please contact us and we will delete it immediately.
9. International Users
CashFlow is developed in the Philippines and primarily serves Filipino users. By using the App, you consent to the processing of your information in the Philippines and other countries where our service providers operate, in accordance with this Privacy Policy.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last Updated" date above and, where appropriate, through an in-app notification. Your continued use of the App after changes constitutes acceptance of the revised policy.
